DWTC booth spaces come in 9sqm (3x3m), 18sqm, and larger. For a standard 9sqm booth, your backdrop should be 3m wide maximum - otherwise it overlaps into neighboring spaces and the organizers will make you take it down. Yes, this happened to us. No, they don't care that you paid 4,500 AED for that banner.
Table and Counter Materials
- Table Runners: 180cm x 60cm for standard 6-foot tables. Get them hemmed properly or they'll fray by day two
- Table Covers: Full drop to the floor. Hides all the boxes and bags underneath (and everyone has boxes underneath)

Collateral and Handouts

- Extension Cords: 5-meter minimum. Bring two
- Power Strips: For charging phones, running displays, LED lights
- Zip Ties and Duct Tape: Clear packing tape too. Things always need securing
- Scissors and Box Cutters: For opening packages and cutting tape

Common Mistakes That Cost You Leads
1. The Invisible Booth Syndrome
Your booth looks great up close. But from 10 meters away, nobody can tell what you do. Your company name is there, sure, but what do you SELL? At Index Dubai, I counted: 60% of booths didn't have their main product or service visible from the aisle. Those booths were empty.
Fix: Your backdrop should have your logo + one clear message in 80pt font minimum. "Enterprise Cloud Solutions" beats "Innovative Digital Transformation Partners" every time.
2. The Information Overload
Your brochure has 12 pages. Your rollup banner has 8 paragraphs. Your table runner has your entire company history. Nobody's reading any of it.
Fix: Three-second rule. Someone walking by should understand what you do in three seconds. Everything else is backup material for interested visitors.
3. The Quality Mismatch
Premium booth space, cheap printing. Or worse - expensive materials with spelling errors. I saw "Abudhabi" as one word on a 3-meter backdrop at ADNEC. That company paid 35,000 AED for that booth space.
Fix: Proofread everything. Then have someone else proofread. Then proofread again. Spelling errors on printed materials can't be fixed with a Sharpie.
4. The Missing Call-to-Action
Beautiful booth. Helpful staff. Expensive giveaways. But what do you want visitors to DO? Schedule a demo? Get a quote? Visit your showroom?
Fix: One clear CTA on your main banner. "Scan for 20% Discount" or "Book a Free Consultation" - something specific.
Venue-Specific Tips
Dubai World Trade Centre (DWTC)
- Setup usually starts 6 AM day before the event. Traffic on Sheikh Zayed Road is bad - leave early
- Parking is underground. Bring a trolley for carrying materials - it's a walk from parking to halls
- Hall temperatures vary wildly. Adhesives don't stick well in very cold halls early morning
- Free WiFi is slow during events. Don't rely on it for presentations
ADNEC (Abu Dhabi)
- Larger halls, more spread out. Your booth needs to work from further away
- Setup traffic is better than Dubai but allow 90 minutes drive from Dubai
- Better natural lighting in some halls - colors look different than in your office
- Stricter about booth boundaries. Measure everything precisely

Store rollup banners standing upright, not laying flat. Store vinyl backdrops rolled with the printed side OUT (reduces creasing). Label everything with "GITEX" or whatever event it's for - you'll have multiple sets eventually and need to know which is which.
